UNTHA UK is hiring

Here at UNTHA UK, we’re on the lookout for the next team member — a Parts and Maintenance Administrator — to join our ranks at our HQ in Boroughbridge, York.

The main focus of the role will be to evaluate the needs of our customers and provide the right products and services, along with supporting the parts and maintenance team to continually improve our service delivery. The position is for 32 to 40 hours (4 or 5 days) per week and is based on site.

Main duties and responsibilities
Service management

  • Act as a key point of contact for customers seeking help with products or technical issues.
  • Evaluate clients’ needs using specific questioning techniques to obtain/match customer requirements.
  • Interact with customers who are not satisfied, putting service and communication techniques into practice — resolving any conflicts professionally and answering enquiries respectfully.
  • Follow up with customers after matching the needs of their requirements to assess customer satisfaction.
  • Create quotations for customer needs in relation to parts required and our service packages.
  • Progress quotations through our system by invoicing, ordering from the factory, or producing picking notes internally from our stock, to ensure products are delivered.
  • Create work orders through our in-house system — carrying out various tasks such as scheduling engineers, maintaining the diary, creating orders, invoicing, quoting for relevant work, and closure of work orders.
  • Assist in arranging engineering services, maintenance, and inspection visits for customers and schedule required resources (workers, supplies, transport, etc.) to ensure minimal disruption and maximum productivity.
  • Support the parts and maintenance team by maintaining the engineers’ diaries — balancing competing priorities to schedule jobs to meet customer expectations and maximise efficiency and revenue-earning deployment of the team.
  • Accommodation management for the engineers on a weekly basis.
  • Support the parts and maintenance team in reviewing engineering reports on completion of all jobs and schedules. Action any required follow-up work to maintain customer machine productivity.
  • Work with the projects team — answering their questions, providing guidelines, and instructions, and also demonstrating the best solutions for them.
  • Be familiar with services/products that the company and third-party suppliers provide, to both promote and ensure high customer service.
  • Stay updated on which services/products are being introduced or discontinued.
  • Identify and evaluate current services and areas that are underperforming, to look at potential future improvements.
  • Obtain manuals from our head office in Austria and upload them to our in-house system — providing them to customers upon request.

Health and safety

  • Comply with all UNTHA UK health and safety (H&S) rules as set out in the Employee Safety Handbook and other procedures to ensure personal, organisational, and customer safety.
  • Carry out any relevant H&S sessions from the toolbox talks company framework.

Quality and environmental compliance

  • Work towards the achievement of agreed personal targets and manage team performance against shared targets, to ensure continued successful development of the organisation.
  • Adhere to all company policies and procedures described in the UNTHA management system so that day-to-day business activities are managed consistently across the organisation.
  • Comply with all UNTHA UK environmental rules to guard against the risk of incidents which may cause harm to the environment.
  • Take an active role in updating company records on Dynamics, so that information is current and services can be delivered quickly and correctly to customers.

Learning and development

  • Stay up to date with the latest UNTHA UK shredding technology news.
  • Take responsibility for your own learning and development, participating fully in all such opportunities — including trade fairs, exhibitions, toolbox talks, and appraisals, to ensure that knowledge is current and skills and competencies are strengthened.
  • Maintain required professional certifications to also ensure the above.
  • Any training needs will be provided by the company and will be required to be undertaken.

Requirements

Attainment

  • Previous experience of delivering high-quality services/products to customers along with an understanding of working within contractual obligations.
  • Highly computer literate with capability in email, MS office, and related business and communication tools.
  • Proven work experience carrying out varied administration tasks and duties.
